5 Things Only Your Event Team Can Spot in a Venue Proposal
Venue site selection for associations comes with a lot of moving parts. Your site selection partner handles the data, the pricing and the negotiation. Your event team knows how your event will run once everyone’s in the room.
Here are five things we spot in a proposal that change how your event runs.
1. Where your exhibitors land and who walks past them
2. How attendees move between sessions, meals and breaks
A floor plan shows you where the rooms are. It doesn’t show you what the walk feels like when everyone leaves a session at the same time. We look at how far it is from the plenary to the breakouts, where the coffee lands, and whether lunch has somewhere to go besides the main room. When the plenary, breakouts and exhibit hall sit close together, transitions are quick and sessions start on time. When attendees face a long walk between rooms, they show up late, skip the exhibit hall and head to their rooms instead.
3. What your sponsors want to do in the space
Sponsors don’t ask standard questions. One wants to bring puppies for a mental health break. Another wants to drive a branded car right into their booth. Can the venue say yes? Will the freight doors and the floor handle it? We know to ask because we’ve sold and fulfilled these activations. We also look at what sponsors will want to brand: columns, walls, even the elevator doors. And if a sponsor wants to host a reception off site, we know whether taking that meal out of the venue puts your F&B minimum at risk.
4. What your past events taught you about your attendees
A proposal doesn’t know your crowd. We do. Say the plenary room comes up 40 to 60 seats short. For some groups that’s a dealbreaker. For a group that spends sessions in the halls networking and making deals, those seats won’t matter. We know which group you are. We also know what your attendees will pay to stay in a destination, and where the pushback starts on travel costs. We know whether your board prefers a convention centre with hotels around it or everything under one roof. Each event we plan for you adds to that list, and it shapes which proposals should be considered.
5. What the venue will do to the budget
Your site selection partner gathers the numbers and negotiates them. We know your association’s financial goals and how your event spends, so we see which line items will cause trouble later. Take internet. One proposal charges $15 per person per day. Another charges a flat $1,500 per day. At 500 to 600 attendees, the first costs $7,500 to $9,000 a day. That one line can eat a big piece of your budget. We catch it because we know where your budget has no room.
Bring Your Event Team In Early
Your site selection partner and your event team bring different expertise, and you need both to get the best result. Bring us into the first conversation, not the last one, and the venue you choose will fit the way your event actually runs.
