The Importance of Adhering to Food Intolerances in Events

Food is a fundamental part of any event. Whether it’s a corporate gala, a wedding, or a networking luncheon, the dining experience plays a significant role in guest satisfaction. As an event planner, I have always understood the importance of catering to dietary needs. But it wasn’t until I had to personally navigate food intolerances that I truly saw the gaps in how these needs are addressed.

Having to go gluten- and dairy-free has opened my eyes to the reality that many event menus are not as inclusive as they should be. I have attended events where my dietary needs were noted, yet the options provided were insufficient. At one event, my only choices were salad, a veggie plate, and a fruit platter. While I appreciated the effort, these options lacked substance. Just because someone is gluten- and dairy-free does not mean they eat less or don’t require a balanced meal with adequate protein.

A similar situation occurred at another event where the only option I could eat, beyond seafood, was a single dish. And at multiple events, including a recent luncheon, there was no dessert option for those with food intolerances. It was a small but glaring reminder that inclusion isn’t just about providing an alternative—it’s about ensuring that everyone has a full and satisfying meal experience.

This is where hotels, restaurants, venues, and planners must do better. It’s not just about offering a single gluten-free or dairy-free dish to check a box. It’s about truly understanding and accommodating dietary restrictions in a way that ensures every guest enjoys the same level of culinary experience as those without restrictions.

So, what can we do as event planners?

  1. Work Closely with Caterers and Chefs – Ensure they understand that dietary restrictions require thoughtful, complete meal options, not just side dishes or afterthoughts.
  2. Balance the Menu – Gluten- and dairy-free guests still need protein, fiber, and variety. Provide a meal that is as fulfilling as the standard menu.
  3. Include Dessert Options – Everyone loves dessert, and those with dietary restrictions shouldn’t be left out. There are plenty of delicious gluten- and dairy-free dessert recipes available.
  4. Engage with Guests in Advance – If possible, check with guests ahead of time to ensure their needs are met beyond just a generic “allergy-friendly” plate.
  5. Educate Venues and Vendors – Many venues operate with outdated assumptions about dietary restrictions. By advocating for better understanding, we can drive change industry-wide.
